2. Information We Collect
Website and demo information
When you visit our website or use the live demo, we may process information such as:
- Business name and service area that you enter.
- Audio you provide during the browser demo while the session is active.
- Live transcript text and call metadata used to operate the demo and prepare the responder preview.
- Technical information such as IP address, browser type, device information, timestamps, referring pages and diagnostic logs.
- Browser storage information used to operate features such as demo-use limits and test-session state.
The public demo is configured with call recording disabled. Audio still must be transmitted to communications and AI service providers in real time so the assistant can respond. Transcript text and technical metadata may be processed or retained by service providers as needed to operate, secure and troubleshoot the demo.
Business customer information
If you inquire about, purchase or administer VizOptimize, we may collect business contact information, account credentials, company configuration, service area, hours, services, responders, routing instructions, billing details, support communications and other information needed to configure and operate the service.
Caller and lead information
When a business customer uses VizOptimize to handle calls, the service may process caller information such as:
- Name, callback number and SMS preference.
- Property address or service location when voluntarily provided.
- Description of the problem, affected area, source status and urgency indicators.
- Call transcript and, when a customer has enabled recording and applicable notice or consent requirements are met, call audio.
- Call time, duration, routing outcome, responder notifications and follow-up status.
Callers should not provide Social Security numbers, full payment-card numbers, account passwords, medical records or other highly sensitive information unless it is genuinely necessary and the business receiving the call has specifically instructed them to do so.
Payment information
If you purchase a paid service, payment information may be collected and processed by our payment processor. VizOptimize may receive transaction status, billing contact information, subscription details and limited payment metadata, but we do not need to store complete payment-card numbers ourselves.
3. How We Use Information
We use information to:
- Provide, configure and operate the website, demo and paid services.
- Answer calls, capture lead details, assess configured urgency criteria, route information and send customer-authorized notifications.
- Provide customer support, troubleshoot failures and maintain service quality.
- Authenticate access, prevent abuse, enforce demo limits and protect the security of our systems.
- Manage subscriptions, usage, billing and account administration.
- Comply with law, respond to lawful requests, protect rights and resolve disputes.
- Analyze and improve product performance using aggregated, de-identified or otherwise appropriately handled information.
We do not use caller information to make decisions about employment, credit, housing, insurance eligibility or other legally significant consumer decisions.
4. Business Customer Data
For caller data and lead information processed for a business customer, VizOptimize generally acts on that customer's instructions. The business customer is responsible for deciding why the data is collected, what information its call flow requests, how it responds to leads and what notices or consents are required for its use case.
If you are a caller seeking access to, correction of or deletion of information associated with a particular restoration company or other VizOptimize customer, contacting that business directly is normally the fastest route. We will support customer requests as appropriate.
5. How We Share Information
We may share information with service providers that help us operate VizOptimize, including providers for:
- Cloud hosting and infrastructure.
- Telephony, voice and communications.
- Artificial intelligence and language processing.
- CRM, workflow automation and messaging.
- Payment processing.
- Security, logging, monitoring and support.
We may also disclose information when required by law, to protect rights or safety, in connection with a business transaction, or with your direction or consent.
6. SMS and Communications Data
If a caller provides a mobile number and agrees to receive text messages, VizOptimize may send service-related messages on behalf of the business they contacted. Message frequency varies. Message and data rates may apply. Recipients can opt out using STOP or another reasonable opt-out request. Additional communications terms are available in our AI & Communications Disclosure.
7. Recording and Transcription
Production accounts may use live transcription and, if specifically configured, call recording. Recording and consent laws differ by jurisdiction. Our business customers are responsible for configuring legally appropriate notices and obtaining any required consent for their callers. VizOptimize may provide configuration tools or suggested wording, but the customer remains responsible for its legal use of those features.
8. Data Retention
We retain information only for as long as reasonably necessary for the purposes described in this policy, to follow customer instructions, maintain security, meet legal or accounting obligations, resolve disputes and enforce agreements. Retention periods can vary by data type, account configuration and service provider. Customer data may be deleted, anonymized or returned when an account ends, subject to lawful backup, security and recordkeeping needs.
9. Security
We use reasonable administrative, technical and organizational safeguards designed to protect information against unauthorized access, misuse, loss or alteration. No internet, telecommunications or storage system can be guaranteed completely secure, and we cannot promise absolute security.
10. Your Privacy Choices and Rights
Depending on where you live and whether a privacy law applies, you may have rights to request access to, correction of, deletion of or a copy of certain personal data, and to opt out of certain uses of personal data.
Colorado law, for covered businesses, provides consumers rights that can include access, correction, deletion, portability and opt-outs relating to sale, targeted advertising and certain profiling. VizOptimize's current practice is not to sell personal data or use it for targeted advertising.
To submit a privacy request, email support@vizoptimize.com with the subject “Privacy Request.” We may need to verify your identity or authority before acting on a request. Where applicable law provides an appeal right, you may appeal a decision by replying to our response with “Privacy Appeal.”
11. Children
VizOptimize is a business service and is not directed to children under 13. We do not knowingly create customer accounts for children under 13. A caller may occasionally be a minor; in that situation, caller information is processed only as part of the business communication and according to the customer's instructions and applicable law.
12. U.S. Processing
VizOptimize is operated from the United States. Information may be processed in the United States and other locations where our service providers operate, subject to applicable contractual and legal safeguards.
13. Changes to This Policy
We may update this policy as our services, vendors or legal obligations change. We will post the updated version on this page and revise the effective date. Material changes may also be communicated through the service or by email when appropriate.
