1. Calls May Be Handled by AI
VizOptimize uses artificial intelligence and automated voice technology to answer and process calls for participating businesses. The voice may sound natural or human-like, but the caller may be interacting with an automated AI assistant rather than a live employee.
Business customers are responsible for choosing the greeting and disclosure language appropriate for their jurisdiction and use case. VizOptimize may provide recommended language and configuration assistance.
2. What the AI Does
Depending on the customer's configuration, the AI assistant may:
- Ask what happened and whether a water or property issue is still active.
- Identify basic urgency indicators using customer-approved rules.
- Collect a caller name, callback number, service location and issue details.
- Ask whether a mobile number can receive service-related text messages.
- Prepare a responder summary and notify designated business contacts.
- Route, escalate or schedule follow-up according to the customer's configuration.
The AI does not independently dispatch emergency services, guarantee that a restoration crew will respond or make binding insurance-coverage decisions.
3. AI Can Make Mistakes
AI systems can mishear speech, misunderstand context, mispronounce names or numbers, omit details or classify a call incorrectly. VizOptimize uses controlled prompts, call flows, testing and customer rules to reduce these risks, but no AI system is error-free.
Business customers must maintain appropriate human review and fallback procedures for calls that matter to safety, property protection or customer commitments.
4. Not 911 or Life-Safety Dispatch
If there is an immediate threat to life or safety, callers should move away from danger when possible and contact 911 or the appropriate emergency authority. A business customer's restoration responder is separate from public emergency services.
5. Transcription
VizOptimize may use live speech-to-text transcription to understand callers, capture lead details, generate summaries and support quality or troubleshooting. Transcription may occur even when call recording is disabled.
Transcripts can contain errors, especially with names, addresses, accents, background noise and phone numbers. Important details should be verified by the business responder when appropriate.
6. Call Recording
Call recording is not automatically required for VizOptimize to operate. Some production customers may choose to enable recording for quality, documentation or training purposes.
Recording and consent rules differ by state and jurisdiction. The business using VizOptimize is responsible for determining whether recording is lawful, providing any required notice and obtaining any required consent. If recording is not enabled, live audio may still be processed in real time to operate the voice assistant.
7. Browser Demo
The public VizOptimize browser demo uses your microphone to create a live AI conversation. No phone call is placed. The demo is configured with recording disabled.
Your audio is still processed in real time by communications and AI service providers so the assistant can respond. Transcript text and call metadata may be processed to create the on-screen responder preview and to operate, secure or troubleshoot the demo.
The demo is for evaluation only. It does not create a paid subscription and does not trigger a real restoration-company dispatch, text message or responder alert.
8. Service-Related Text Messages
When a caller provides a mobile number and agrees that the number can receive text messages, the business they contacted may use VizOptimize to send service-related messages such as:
- Confirmation that the inquiry was received.
- Follow-up questions about the property or service request.
- Scheduling or responder updates.
- Information needed to continue the service conversation.
Message frequency varies by interaction. Message and data rates may apply.
Stopping text messages does not necessarily stop an expected voice callback unless the caller separately asks the business not to call.
9. Marketing Messages
VizOptimize's core call-answering service is not intended to turn an inbound service request into unrelated marketing. Customers may not use VizOptimize to send unlawful promotional calls or texts. Marketing communications, where used, require any consent, disclosures and opt-out mechanisms required by applicable law.
10. Business Customer Responsibility
Each business using VizOptimize controls its own service area, hours, questions, responders, scripts and follow-up rules. The business is responsible for:
- Accurately representing what services it offers.
- Choosing whether AI disclosure, transcription disclosure or recording disclosure is required.
- Obtaining required communications consent.
- Keeping responder and escalation information current.
- Honoring opt-out and privacy requests.
- Making the final decision about whether and how to respond to a caller.
11. Caller Privacy
Caller information is processed to handle the inquiry and deliver it to the business the caller contacted. VizOptimize does not sell caller personal information or use it for targeted advertising. More information is available in our Privacy Policy.
